I run a business while also managing a full-time job. My top priority is finding the right person who can help me free up my time by fully taking ownership of many daily business and personal responsibilities.
You will directly support me by handling team coordination, supplier management, calendar organization, inbox management, personal tasks, and weekly deliverables. Your job is to take ownership, execute, solve problems, and ensure that only the highest priority issues reach me.
Your success will be measured by how much time you save me by owning and managing operational and personal execution.
You will:
Own my calendar, inbox, meetings, and deliverables
Handle 80-90% of tasks independently, escalating only what’s necessary
Allow me to focus on leadership and growth while you handle execution
Build simple, repeatable systems for continuity
Part-time: 7–10 hours per week to start
Pay: $7–10 USD per hour (depending on experience)
Long-term, ongoing role with opportunity for growth
Flexible schedule, but availability required for scheduled meetings (some EST overlap needed)
Business Operations
Attend weekly staff meetings to track deliverables and hold the team accountable
Manage supplier communications and freelancer coordination
Maintain project trackers and prepare simple high-level reports
Manage business inbox (filter, reply, escalate important items)
Schedule and prepare for weekly and monthly business check-ins
Personal Operations
Manage calendar, appointments, and scheduling conflicts
Conduct research on vendors, tools, services, or projects
Place personal orders and coordinate support tickets
Maintain MyFitnessPal entries for diet, workouts, and fitness tracking
Plan and schedule weekly diet based on fitness goals
Systems & SOPs
Build and maintain SOPs to ensure consistency and continuity
Use AI tools (ChatGPT, Perplexity) to improve task quality, research, and execution
Experience as an Executive Assistant, Operations Manager, or similar role
Highly organized, detail-oriented, and proactive
Strong project and task management skills
High level of ownership and accountability
Fluent in written and spoken English
Strong communication skills to professionally handle staff, freelancers, and suppliers
Ability to make independent decisions within clear guidelines
Proficient in Excel, Google Suite (Docs, Sheets), and Notion (preferred)
Tech-savvy and able to quickly learn new tools
Amazon Seller Central and/or Shopify experience
Familiarity with e-commerce operations
Experience managing freelancers and offshore teams
Experience using AI platforms (ChatGPT, Perplexity, Gemini, Claude)
